When the Oulu2026 cultural year got properly underway, it kicked off one of our busiest partnership years at Popa. Materials were ordered at a steady pace: posters, banners, large-format prints for event points, and directional signage for indoor and outdoor spaces.

Now that the opening events and biggest launches are behind us, it is easier to look at what could have been done differently.

A cultural year does not progress evenly. Some orders arrived in the calendar at the last moment, others were delayed. Materials were updated and delivered despite the rush. Only a few near-misses were avoided by a narrow margin.

Preparatory Meetings Secure the Outcome

After signing the partnership agreement, we held several meetings with the Oulu2026 team where we went through the entire year's material needs in advance. What events were coming, on what schedule, which materials would repeat, and which were one-offs.

Well planned is half done. We took care of responsibility and recyclability. The scheduling pressure eased when we at Popa already knew in January what was coming in September.

Lessons from Large-Scale Production

The value of good preparatory meetings is measured in saved revision work, accurate dimensions, and logistical confidence.

Large-format prints and signage are designed to be durable, movable, and modular. The final installation location could change on site. Weather conditions vary enormously throughout the year.

A scheduling buffer is part of the budget. When an order arrives a week before the event rather than the day before, the price is lower and the confidence in the outcome is higher.

The Oulu2026 year is significant, busy, and instructive for Popa. We are proud of what we have achieved together. In hundreds of square metres of large-format print, dozens of event signs, and every banner, there was a thought about how visibility is built with care and not in haste.

The most effective plan is the one made before the calendar turns completely red.
